State Track Meet Jobs

For the last seven years, we have been blessed to host the Texas State Homeschool Track & Field Championships, which brings in several thousand dollars of profit each year, and brings together literally hundreds of homeschoolers from around the state in a unique and thrilling event.  Some jobs are needed only on the day of the event, April 16, 2016.  Some jobs are needed in the weeks leading up to the event.

If someone (a parent or age 16+ sibling) volunteers on an athlete's behalf at least half a day, the athlete may compete in the meet at no charge. 

Meet Director [JOHN & GAYLE ASH, assistants needed for 2016 who can take over in 2017]: secures the facility, hires professional staff as needed, designs the meet schedule, coordinates and monitors the work of other track meet committees.

Race Commissioner: [JOHN ASH] gets volunteers needed to run the staging and race judging and picking, and runs the races the day of the meet

Media Director: [needed] issues press releases to area newspapers, radio, and television media, posts results to various websites and sends local results to media.

Development Director: [needed] sends sponsorship letters and makes other contacts with potential sponsors for the track meet to maximize our fundraising efforts

Awards Coordinator [needed]: purchases and organizes medals, ribbons, and trophies for the meet, distributes them during the meet as earned

Registrar: [needed] coordinates online registration system and event entry, maintaining liability waivers and seeing that everyone is entered properly (can be done entirely on your computer from home)

Sales Leader [PAM BUSBY]coordinates the design, purchase, and sales of the track meet T-shirt, as well as any other non-food merchandise desired

Public Relations Leader [needed]: emails track meet information to homeschool track coaches and support groups, maintains the website, obtains group rates at two-three area hotels and posts that information on the website

Concessions Manager:  [JOHN & COLLEEN STAFFORD]

Hospitality Leader: [needed] organizes activities that support the overall smooth running of the meet, including setting up and cleanup, maintaining water stands, and manning the booth(s) for information, first aid, volunteer check-in, runners, lost & found, etc.

Staging Coordinator: [needed] sets up each heat in order for the races so they are ready to run the next race with no wait time 

Meet setup and cleanupEVERYONE WHO CAN! [needed] setting up tables, tents, field events, concessions stand, etc. 

First Aid: (must be qualified - RN, LVN, EMT, MD)[needed] may post yourself at first aid tent or may leave your cell number and be “on call” but must remain on site while on call 

Hospitality Booth Workers: [needed] assist with helping volunteers and participants find needed locations, provide simple first aid such as band-aids or ice packs, monitor lost and found items, maintain water stands, act as runners, etc.

Runners: [needed] run results from field events to results booth, general running errands

Concessions Stand Workers: [needed] cooks, salespeople, etc.

Merchandise Salespeople: We have a couple of volunteers but could use more. Sell T-shirts, etc.

Race Judges: [needed] judge curves (be sure people stay in their lanes) and exchanges (passing the baton)

Race Pickers: [needed] pick race finishers in order [need only 1 all day, may work in shifts]

Staging Assistants: [needed] assist the staging coordinator in setting up the heats for the races

Awards Booth Workers: [needed] distribute awards to athletes as earned, under the direction of the Awards Coordinator (1 adult needed)

Athlete Check-In: [needed] checks in coaches/athletes for first two hours of the meet
